Each client relationship is a journey. No two events are exactly alike, but we’ve developed a proven roadmap that helps organizations move from vision to execution while maximizing revenue and reducing stress.

1. The Origin Point

Every partnership begins with a Request for Proposal. This is where we learn about your organization, your audience, and your goals. The best place to start is by filling out the Request for Proposal on our website. This quick-hit form gives us the basic information we need to check our availability and get a grasp of your event. It also flags Sarah Barton, our client operations manager, to reach out to you to schedule a Discovery Call. 


2. The Discovery Call

Get ready to dish the details! Here’s where you’ll first meet with Fundraising Strategist and Benefit Auctioneer extraordinaire, Kelly Russell. We’ll chat all about the amazing vision you have for your event and, more importantly, your huge event goals. This is where we play matchmaker and figure out who the absolute best revenue-leader auctioneer is for your audience—unless you already have a favorite, in which case we’ll get them booked! We’ll also lock down any staffing, travel, and extra needs. More importantly, this is where we begin identifying the strategies that will help you reach your destination.


3. Contract & Consultation

Once we’re officially partners, we’ll start building the route and planning for your success. You’ll receive a proposal for services. Once your contract is signed, the real magic begins: Consultation! Your consultation kicks off with an onboarding email asking you to spill the tea on key event details. This is your chance to dump as much information on us as possible before our first meeting so we can dive deep into a killer strategy for success.


4. Strategic Checkpoints

Along the journey we’ll meet at key milestones to be sure your fundraising journey stays on track. We schedule ALL of your strategy meetings at the beginning of our journey together to help manage the calendar chaos and your workflow. You’ll always have lead time and know what’s coming next. These are some of the most common waypoints we visit with our clients:


  • Event Timeline & Logistics (6–12 months from event day)

We’re designing a Profitable Event Timeline! Strategic sequencing is pivotal to raising more money. We’ll make sure your guests are engaged, energized, and focused on your mission while addressing critical logistics like registration, checkout, volunteer needs, sound, lighting, and licensing along with any other big questions you may have.


  • Revenue Strategy Review (3–6 months from event day) 

Time to talk treasure! We’ll review donor insights, discuss revenue builders (including your live auction, raffles, and more), identify compelling stories, explore matching gifts, and develop the strategies that connect with your audience and inspire generosity. 


  • Revenue Optimization (2–3 weeks from event day). 

As event day approaches, we’ll analyze giving levels, leadership gifts, and donor psychology to ensure your fundraising program is positioned for maximum impact. We’ll also dig into your script and make sure it is crafted to build momentum. 


  • Table Read (Usually 5–7 days from event day). 

We’re nearing the destination, and it’s time to rally the team! A few days before the event, we’ll gather key players for a run-through. Everyone leaves this call knowing their role, understanding the event flow, and feeling confident about the plan. 


5. Event Day 

After months of preparation and planning, it’s showtime! This is where your vision comes to life. Your onsite Artisan Auctions team arrives ready to execute, adapt, and lead. From the benefit auctioneer to the clerk and bid assistants, we’re all focused on one goal: helping you bring your plan to life so the audience has an unforgettable experience that drives transformational revenue for your mission. You get to focus on engaging with your guests while we manage the plan. Get ready to watch those bid cards fly!


6. Looking In the Rear-view Mirror

The journey with Artisan Auctions doesn’t end when the ballroom lights come on. Within 30 days of your event, we’ll meet for a comprehensive debrief to evaluate results, celebrate wins, and identify growth opportunities. The planning for what comes next starts now. Let’s build a long-term strategy that builds momentum year after year.
